This privacy policy describes how CASME looks after personal information (‘personal information’ meaning ‘personal data’ as referred to in the retained EU law version of the General Data Protection Regulation (EU) 2016/679) (UK GDPR)) you give us, that we obtain when we correspond or serve you, or that we learn by having you as a customer and the choices you give us about the marketing you want us to send to you, whether through our website casme.com or interacting with us, as set out below.  This policy explains how we collect and process personal data and tells you about your privacy rights and how the law protects you.

CASME, the trading name of Market Focus Research Limited, whose principal business address is at 1 Holt Barns, Frith End, Bordon, Hampshire, GU35 0QW, United Kingdom, offers corporate subscription services (in the remainder of this document referred to as ‘We’ or ‘our’).  Details of our subscription services are in accordance with our website, marketing material, booklets or brochures and may vary from time to time.  We are committed to protecting and respecting your privacy.  By enquiring about or using our services or website you are deemed to be accepting this privacy policy and you consent to our use and disclosure of your personal information in the manner prescribed.

We would like to place cookies on your computer to help us provide you with a good experience when you browse our website and members’ portal and also allows us to improve our site. We may also analyse information that does not contain personal data for trends and statistics.

How we get personal information and why we have it

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting admin@casme.com.
(b) We have a contractual obligation. Where we need to process the data to perform a contract we are about to enter into or have entered into with you.  For example, if you are a CASME member, you book an event or venue with us, or you sign up as a registered user to access CASME products or services.
(c) We have a legal obligation. Where we need to comply with a legal or regulatory obligation.
(d) We have a legitimate interest. Where it is necessary for our legitimate interests (or those of a third-party) and your interests and fundamental rights do not override those interests.
(e) We have a vital interest. In the event of an emergency.

We use the information that you have given us, whether the contact is online, on paper, by email or over the phone, in order to:
process CASME membership applications or renew your membership
process a subscription to our services
process enquiries about your membership or a service
to provide you with personal invitations and direct marketing information, products or services that you request from us or which we feel may interest you, where you have consented to be contacted for such purposes
process orders and provide services that you have subscribed to
to notify you about changes to our service
provide surveys or delivery of benchmarking reports to clients and event feedback
process event bookings and logistics (for physical events we may collect special category data such as any special dietary requirements or physical access required when applicable)
process job applications
the management of CASME employees and contractors engaged with CASME
make improvements to our website/online services and dealing with any problems reported with our sites.
When running physical events we will share personal information with a venue, such as dietary requirements, where appropriate.
When running a joint event with another company we will share your contact information with that third-party with your consent.

How we decide to how long to retain your personal data

We cannot definitively set out how long we will retain all personal data in this Policy (this is contained in our Data Retention Policy) – this is a general notice that deals with different personal data collected for a variety of reasons.  However, we decide how long we will retain your personal data based on the following factors:
If we are performing a contract for you – for the length of that contract and for approximately 10 years afterward to deal with any post-contract issues.
If you are in contact with us – we will retain your personal data as long as it is necessary for us to conclude the relevant correspondence with you.
Whether we think there is a likelihood of you contacting us again in the near future or if we think we need to contact you again, provided that the legal basis (see above) for doing so still exists, for no longer than is necessary in respect of that legal basis. 

How we store your personal information

We keep personal information for only as long as necessary to perform a task based on a lawful basis and as set out in our Data Retention Policy.  

Security measures

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed.  In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know.  They will only process your personal data following our instructions, and they are subject to a duty of confidentiality.
Where you have access to a secure area of the website, or any external platform linked to the site, you are responsible for keeping your login details and password(s) confidential and protected.  We ask you not to share your password with anyone.  You can change your password at any time by logging in.  We accept no responsibility or liability if a third party obtains and uses your ID or password.  You must tell us immediately if you believe someone may have access to or use of this information.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

You have the right to ask us to erase your personal information in certain circumstances.  Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.

Your right to object to processing. You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability. You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.  We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format.  Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.
No fee usually required
You are not required to pay any charge for exercising your rights.  However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive.  Alternatively, we may refuse to comply with your request in these circumstances.

What we may need from you

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights).  This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it.  We may also contact you to ask you for further information in relation to your request to speed up our response.

Time limit to respond

We try to respond to all legitimate requests within one month.  Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

How to complain
